Our process is streamlined meaning that you apply to a room once, and if a landlord finds your profile appealing, you're directly invited to a one-on-one digital viewing — without any cumbersome chatting involved. If you get along with the landlord and everything is fine, we help you with finalizing the rental process, from the booking to signing the digital contract, ensuring your peace of mind.

By using our secure booking system, your first month's rent is handled safely: you pay it through us, and we hold it securely until you move in, safeguarding you from scams. This makes Hemavi ideal for you if you don't yet live in the city you're moving to, since the whole process is handled safely online. Plus, we're there in the online meeting too, ensuring everything goes smoothly for both you and the landlord, answering any questions you may have.

2. Creating Your Hemavi Account

Getting started with Hemavi is simple. Create your account by signing up with your email, Google, or Facebook credentials. Remember, setting up an account on Hemavi is completely free.

After logging in, indicate that you are looking for a room as a tenant. We will then guide you through the process and let you provide key details for your profile. This includes your name, preferred city, move-in and move-out dates, as well as your responses to our unique matchmaking questions, like your bedtime habits and cooking habits.

An important step in this process is writing your personal bio and uploading a profile picture. Taking the time to do this thoughtfully is crucial, as a well-presented profile significantly improves your chances of finding the perfect room on Hemavi. Your bio and photo are your first impressions to potential roommates, so make them count!

3. Applying to Rooms

Once your Hemavi account is set up, you’ll be directed to the 'Rooms for Rent' page. This is where the journey to your new room begins. Browse through the available rooms on Hemavi and use the filters to narrow down your search. You can filter by price, amenities, moving dates, as well as landlord age and interests, helping you find the perfect match for your needs.

Our interactive map feature allows you to see the approximate locations of available rooms, while the room cards provide a snapshot of each listing, including essential information at a glance. Look out for landlords marked as "Verified by Hemavi" – this badge indicates that we've personally verified the landlord over the phone, ensuring their listing is reliable and safe.

To look further into a listing, simply click on the room ad. On the room ad page, you’ll find more comprehensive information about the room and the property. You also have the option to explore the landlord's personal profile, where you can learn about their interests and their responses to our matchmaking questions. The room ad also shows the availability of other rooms in the same house or apartment.

When you’re ready to apply, click on the 'Apply Now' button. This will take you to the application page, where you’ll be asked to specify your preferred move-in and move-out dates as well as to write a personal message to your potential future landlord. Once you send your application, the landlord is immediately notified. To keep track of all your active applications, you can visit the 'My Applications' page.

Now, it’s time to wait for the landlord to reach out for a digital viewing. In the next section, we'll guide you through preparing for and succeeding in your digital viewing.

4. Accepting and Preparing for an Online Viewing

After you've applied for a room, the next step is that the landlord schedule an online viewing. When this happens you'll receive notifications via SMS, email, and WhatsApp, where the landlord is offering up to three possible time slots for the digital viewing. Simply reply with your preferred time through any of these communication channels, or contact Hemavi directly via the chatt or through our contact page.

Once you confirm a time for the viewing, we'll send you a link to the meeting via SMS and email. You will also be reminded one hour and five minutes before it's scheduled to start. Should you encounter any issues, such as needing to reschedule or cancel the viewing, please inform us as soon as possible.

To ensure a successful viewing, select a quiet, well-lit area for the call. If you're using a mobile device and don't have the "Google Meet" app installed, we recommend downloading and testing it in advance to prevent any technical hiccups. Having your camera on during the meeting make it a more personal and engaging interaction.

Begin the meeting with a brief introduction. Share some information about yourself, like your profession, interests, and any relevant experiences in other shared accommodations. This initial exchange is an excellent opportunity to connect with the landlord, providing them with a sense of who you are and what you're looking for in a living situation.

Expect the conversation to last about 15 minutes. A representative from Hemavi will also be present during the viewing to facilitate the process, answer any questions, and provide assistance related to the booking.

5. Finalizing the Booking of the Room

After a successful viewing, the next step for you is to send a booking request of the room. When you send this request, you'll enter your card details and authorize a payment hold on the booking fee. Should the landlord accept your booking, this action will initiate an immediate charge for the first month's rent from your account. However, if the landlord rejects your request, the payment hold on the booking fee is immediately removed, but it might take up to 24 hours before this is reflected in your bank account.

To provide both security and peace of mind, Hemavi holds the collected rent securely until the official move-in date. This policy is in place to protect both you, and the landlord, guaranteeing a secure process as you transition into the rental agreement.

6. Signing the Rental Agreement

Once your booking request is accepted by the landlord, the following step involves finalizing the rental agreement for the room. Hemavi will email you a draft of the rental agreement and this document will have sections for you to fill in, such as your full name, contact details, and social security number.

Take your time to review the agreement and ensure all the information is accurate before proceeding. Once you're satisfied that everything is correct, you can sign the agreement electronically. Completing this step will also share your contact information with the landlord, making it possible for you both to directly discuss and arrange the specifics of your move-in.

Note: It's important to inform us at Hemavi about any changes in your move-in date or other crucial aspects of the agreement. Keeping us informed helps ensure a smooth transition into your new rental.

7. The Move-In Process

On your scheduled move-in date, Hemavi will be in touch with both you and the landlord to make sure that everything goes according to plan. Once we receive confirmation of your successful move-in, we'll ensure the first month's rent is transferred to the landlord. This will be done within 48 hours after you've moved in.

It's important to note that all future rent payments will be paid directly between you and the landlord. Additionally, if your rental agreement includes a security deposit, this should be paid directly to the landlord by you.
